Myworkandme: the central employee platform

Myworkandme is SD Worx's digital employee platform.  Via this portal, your employees can launch all the SD Worx applications that your company uses (such as the digital pay slip via MySalary, HR Selfservice to request holidays or submit expense notes via HR Selfservice or eBlox HR, access to the Flex Income PlanTM shop, etc.). It is essentially the counterpart to the employer platform mysdworx.

Terminology

  • Personal profile: a person's personal account
  • Employee profile: the context of that person as an employee within a company
  • Via their personal profile, a person can have access to several company environments, for example pay slips from a previous employer and from the current employer or, for example, applications from 2 employers if they are employed at 2 companies.

Process

  • As an employer, you give users access to the applications in the context of your company. To do so, enter the employee's individual (professional) e-mail address.
  • They will then receive an invitation.
  • If an employee already has an account, they can link their existing personal profile to the employee profile via the invitation e-mails they received at to their company e-mail address.
  • Any employees that have not yet worked with myworkandme will be asked to create an account.
  • In both cases, employees need to take action using the 'accept’ button in the invitation e-mail.
  • Employees can then log in using their personal account via their personal private e-mail address and a password of their choice.

 

Important tips and more information

For the employer: use a individual (professional) e-mail address

It is important that you use a personal e-mail address rather than a group mailbox when adding an employee to your payroll or HR package. Example: Use jan.peeters@bedrijf.be and not team1@bedrijf.be.

For the employee: use a personal (private) e-mail address

When creating their profile, we recommend that employees use a private e-mail address and not their company e-mail address, as they will not lose access to myworkandme if they change employer later on.

They should also use a personal e-mail address, i.e. an e-mail address that is not used by other persons, for example their partner. This way it is ensured that only the employees have access to their personal data.

FAQ

1. What is an employee profile and what is a personal profile?

The personal profile is an employee's personal account, the employee profile is the context of that employee within the company. The personal profile can be linked to one or more employee profiles. If your employee works part-time for you as well as for another company that is also a client of SD Worx, they can receive their pay slips from both companies via the same profile.

An employee can also choose to keep them both separate, but will need to create a new personal profile with a different e-mail address. We recommend that employees do not create multiple accounts in order to avoid confusion.

2. As an employer, why do you need to use a personal (professional) e-mail address to access myworkandme?

It is important that you use a personal e-mail address rather than a group mailbox when adding an employee to your payroll or HR package. Example: Use jan.peeters@bedrijf.be and not team1@bedrijf.be. An invitation like this is personal.

An invitation e-mail will be sent to this e-mail address. This e-mail is personal. If a group mailbox is used here, employees might be able to consult other employees' personal data. It is therefore very important that you enter the correct individual (professional) e-mail address here.

3. When will an employee receive an invitation e-mail?

When the first application for your company is assigned to an employee, this employee will receive an invitation email at the (professional) email address you provided. With this invitation email the employee can create a new account or link the application to an existing account if he/she already used myworkandme in the past.

If you make another application available to your employee at a later date and we find your employee's unique identification or email address in our system, the new application will automatically be linked to his/her account. If we can't find the employee's details in our system, a new invitation email will be sent and the employee can link the new application himself/herself to his/her personal account. This is done by clicking on the "Accept Invitation" button in the mail and then logging in with his/her existing account.

4. Why does an employee receive another invitation e-mail even if they already use myworkandme?

In order to avoid sending an invitation e-mail every time, as an employer, you need to enter the same individual (professional) e-mail address each time you want to grant access to a new application. The application and employee profile are then automatically linked and your employee will not need to take any additional steps. If you do not use the same e-mail address, the employee will receive another invitation and must accept it before they can use the application.

5. A new employee does not yet have a myworkandme profile. How can they register?

In order to access the SD Worx application(s), the employee needs to click on the link in the invitation e-mail they receive to the individual (professional) e-mail address provided by you.

  • Click on the "ACCEPT INVITATION" button in the e-mail.
  • Click the "CREATE A NEW ACCOUNT" button on the next screen.

If the employee does not receive the invitation, first have them check whether the e-mail ended up in the "Unwanted e-mail" or "Spam" folder. If not, check whether you have entered the correct e-mail address in your payroll or HR package and change it if necessary.

For your information: not all packages allow you to change the e-mail address yourself or send a new invitation. We are working hard to make this possible.

6. What if an employee forgets their login details?

A user has to log in using the e-mail address they provided when registering. We recommend that you always use a private e-mail address. If this does not work, ask your employee to try using a different e-mail address.

7. What if an employee forgets their password?

A user can set a new password via ‘Account recovery‘.

  • As a first step, the employee enters the e-mail address they use to log in to myworkandme.
  • In a next step, they will be able to choose to restore their account in one of these three ways:
    • Via the e-mail address that they use for logging in;
    • Via a recovery address – please note: this must have been provided before they lost the password.
    • Via a registered mobile number – please note: this must have been provided before they lost the password.
       

If an employee does not receive an e-mail or text message and they have not specified any other recovery options, log a ticket in mysdworx via the "Support" link.

8. What if an employee cannot see (one or more of) the applications?

In order to access the SD Worx application(s), the employee needs to click on the link in the invitation e-mail they receive to the individual (professional) e-mail address provided by you.

  • Click on the "ACCEPT INVITATION" button in the e-mail.
  • Click the "CREATE A NEW ACCOUNT" button on the next screen.

9. Why should an employee use two-factor authentication?

Two-factor authentication means that your employee needs to enter an additional six-digit code in addition to their password for logging in as an extra security measure. Employee can use this themselves or you can impose it as an employer.

This verification code can be sent by text message or generated by an authenticator app. The employee can choose to activate only one of the two options, but we recommend doing both.

  • Via authenticator app
    Verification codes are generated on the fly for free on a smartphone using an authenticator app. This even works if the device does not have a data connection or mobile service. Download the app from the Google Play Store or Apple App Store.
     
  • By text message

 

10. How can an employee set up two-factor authentication?

To do so, your employee needs to proceed as follows:

  1. Go to the "Security" tab;
  2. Click on 'Set up two-factor authentication’;
  3. A wizard will guide the employee through setting up the second step.

11. What if an employee buys a new mobile device?

No action is required if your employee keeps their number and chose the option by text message. If they changed the number, but chose to use the authenticator app, they can log in, go to the Security page and link their new number or the authenticator app on their new phone under "Two-factor authentication".

If they do not use an authenticator app, they can also modify it on a trusted device.

If this does not work, log a ticket via mysdworx.

12. What if an employee does not receive a text message with a verification code?

The following steps can be taken:

  • When configuring their mobile number: ask the employee whether they entered a correct mobile number. Be sure to also check the country code.
  • During two-factor authentication: ask the employee if they have also installed the authenticator app. This way they can try to log in too.
  • If the information above does not help: it may be that
    • our service is temporarily unavailable. There may have been a disruption at the moment we sent the verification code. Wait a while before the employee tries again.
    • There is a problem with their mobile provider. Wait a while before trying again (or contact the mobile phone provider).
